How To Upload PDFs

Prepare the PDF(s)

Before you start, if necessary, edit the file name before uploading. The file name will be visible in the link and the file (if downloaded). Read more about file names.

Upload one PDF:

  1. Click the Insert Media button
  2. Click the Document tab
  3. Click Select File or drag and drop your file into the space
  4. Leave the Description blank
  5. Click Save and Insert. It will look like this (note how it includes the date it was uploaded):

  1. Save the page (or article)
  2. Optional - To link words or an image to the PDF:
    1. After saving the page or article, Right-click the linked PDF and open the link in a new tab. Copy the URL for the PDF from this tab.
    2. Use this to add a link to words or an image (using the Link button in the editor). 
    3. Optional: You can delete the original listing of the PDF. The file will remain in your Site Library (Manage > Content > Media).
  3. Optional - Display the Full PDF inline (within your website)

NOTE: the AFL-CIO has additional instructions for adding PDFs.

Add Document Collection (a listing of PDFs):

  1. Click Page Tasks > Layout
  2. If necessary, add a Section where you want the documents to appear.
    1. For pages and articles, place it under the Main Content or Page Body section, so that you can add intro text or other content above the documents.
  3. Add a Block where you want the documents to appear.
    1. Under Related Content, click Document Collection
    2. Select documents 
      1. you can upload new documents or select from the library
      2. Optional: drag & drop to change the order of the documents
    3. Maximum number of columns = 1 
    4. Click Add Block
    5. Click Save Layout (at top of editor page)

When you are done, it should look like this:

Full PDF - Display Inline

You can display a PDF in an inline viewer (inside a page or article of your website).

After you add a PDF, stay in the editor, click on it, and change the view mode to "Full PDF."
